Coding Another Employee's Invoice

There are times when another employee has delegated authority to you to code their credit card statement. Once you've completed coding your expense report, they will still need to review it and submit it for approval.

1. Click Profile.

2. Click Search by Name or ID.

3. Select the employee you'd like to code on behalf of.

4. Click Invoices.

5. Click on the Invoice Name you'd like to code.

6. Click View Invoice and review the invoice.

7. Enter a Description for what was purchased.

You can now either edit one invoice line item at a time, or if multiple invoice line items share the same code, you can edit them all at once.

8. Select the first line item.

9. Click Edit.

If a line item should be split across multiple departments and/or expense types, click here to learn how to do so.

10. Select the correct Expense Type.

11. Select the correct Department.

12. If you are on the Development Team, select the correct Event.

13. Click Save.

14. If you have multiple line items, repeat the above process for each.

15. Once complete, you can return to the Invoice Manager if you have more invoices to code or close your window tab if you're done.

The invoice can now be reviewed and submitted for approval by the employee who delegated to you.

Editing Multiple Invoice Line Items at a Time

8. Select the line items that should have the same expense type, department, and event code.

To select all line items in an invoice, click the checkbox next to No.

9. Click Edit.

10. Click the checkbox next to Expense Type and select the correct Expense Type.

11. Click the checkbox next to Department and select the correct Department.

12. If you are on the Development Team, check the box next to Event and select the correct Event.

13. Click Save.

14. If you have other line items to code, repeat the above process for each.

15. Once complete, you can return to the Invoice Manager if you have more invoices to code or close your window tab if you're done.

The invoice can now be reviewed and submitted for approval by the employee who delegated to you.
